- Each panel will run for 120 minutes and accommodate up to four presentations. Each presentation is scheduled for 20 minutes, followed by 10 minutes of Q&A. To allow for smooth “panel hopping,” each presentation (including its Q&A) will be completed before the next one begins.
- Time limits are strict to respect your fellow presenters time and to ensure enough room for the discussion. Panel convenors will enforce timing rigorously.
- There is no infrastructure to support hybrid delivery. Presenters who are unable to attend in person due to visa or other constraints, must submit a pre-recorded presentation and send it to your convenors in advance respecting the 20-minute limit. Panel convenors will be responsible for arranging hybrid setups (creating and hosting the online calls) during their sessions to ensure that remote presenters can join the discussion and participate in the Q&A.
- Please coordinate with your convenor regarding the technical setup and timing. If panel convenors cannot attend, they should delegate their responsibilities within their panel.
Technical Support
- We strongly recommend that all presentations be run from a single computer arranged by the convenor. Panel convenors should collect all presentations before the panel begins to ensure a smooth session.
- All rooms are equipped with projectors and HDMI cables. Please ensure your computer has an HDMI port or that you bring an adapter (especially important for Mac users).
- Presentations must be prepared in PDF or PowerPoint (PPT) format. Alternative formats (such as Google Slides, Keynote, or Prezi) are not supported. Please test your file on a Windows computer to confirm that fonts, media, and layout appear as intended. Any embedded content (video, audio) should be playable offline and compatible with standard Windows systems.
- Save your slides to a USB flash drive and bring it with you. Files stored in cloud platforms (e.g., Google Drive, Dropbox, email) will not be accepted, and on-site downloads may not be possible.
- Please be in your session room at least 10 minutes before the start to transfer your file to the conference laptop. Technical staff will be around to support the convenors with any technical issues.
Presentation Tips
- Prepare in advance: Rehearse your presentation, ideally out loud, and ensure your content fits within the allotted time.
- Use clear and concise slides: Prioritize readability with large fonts, minimal text, and visuals that support, rather than replace, your spoken content.
- Structure slides effectively: Present one main idea per slide and avoid unnecessary detail, long sentences, or excessive clutter.
- Observe strict time management: Aim to conclude slightly before the end of your slot to allow for questions and a smooth session transition.
- Verify technical compatibility: Test your slides and any embedded media in advance to confirm that they display and function correctly on the conference equipment.
- Respect the conference schedule: Begin and conclude your presentation on time to ensure fairness to other speakers and to maintain the session’s flow.
- Prepare for questions: Anticipate possible inquiries and provide concise, thoughtful responses. It is acceptable to acknowledge when a question falls outside your expertise.
